Where it works

Drafting and rewriting inside a page, where the surrounding document is the context. Summarising long pages and meeting notes. Translating. Extracting action items. The AI-powered database properties — auto-summarising, auto-classifying or extracting a field across every row in a database — are the most underrated feature, because they apply the model to structured work at scale rather than one document at a time.

These are all small wins. They are also the wins people actually collect, because the tool is in the place where the work already happens and requires no decision to use.

Where it disappoints

Raw output quality trails the dedicated assistants. For serious drafting, Claude or ChatGPT produce noticeably better prose, and people who care about writing quality end up drafting elsewhere and pasting in.

Workspace Q&A is only as good as the workspace. Notion instances tend toward entropy — duplicated pages, abandoned databases, three versions of the same policy — and the assistant answers confidently from whichever version it retrieved. The tool surfaces your information architecture problem rather than solving it, and organisations with tidy workspaces get dramatically better results than those without.

Retrieval across a very large workspace is inconsistent, and there is no signal telling you whether an answer was well-grounded or assembled from the wrong pages.

Pricing

Included in higher Notion plans or sold as a per-seat add-on, which means the decision is usually made for a whole workspace rather than per user.

That makes the pilot question important: measure whether people actually use it, not whether they liked the demo. Embedded AI features have a well-documented gap between licensed seats and weekly active users, and paying per seat for a feature most people never open is an expensive habit.

Cleaning up the workspace before rolling it out will do more for perceived quality than any settings change.

Who should choose it

Teams already running on Notion who want AI where the work is, and who value convenience over peak output quality. Particularly strong for anyone using Notion databases heavily, where the bulk AI properties do real work.

Teams whose priority is writing quality should keep a dedicated assistant alongside it. Organisations on Microsoft 365 or Google Workspace have the same structural bet available through Microsoft Copilot or Gemini, with the same caveats about retrieval and adoption.
